These Terms and Conditions are applicable to all users of the website. By using this website you agree solely, without modification, to the terms and conditions listed below and to the terms and conditions of the respective tour company in which you are booking your travel services.
Users of the Travelvip.ca website shall be referred to as ‘the customer’ in these Terms & Conditions.
RESPONSIBILITY
Travel vip.ca hereby known in these terms and conditions as Travelvip.ca, has the same responsibilities as a travel agency, as such it offers the service of providing travel information and reservations, as provided by various third party suppliers, to the customer.
You, the customer, must be at least 18 years of age in order to purchase travel services from Travelvip.ca. Users of this website must agree to all of the terms and conditions listed on this page in order to use this website.
PRICING AND CONTENT
All prices within this website are in Canadian dollars unless otherwise stated. Airport fees, where applicable, are not included in the pricing. All prices on this website are subject to change without prior notice. Any changes in pricing that may occur before, during or after a purchase, as a result of a tour operator and/or airline change, are not the responsibility of Travelvip.ca. Once a booking is complete, pricing CANNOT be adjusted. Pricing and availability on all packages and flights is not guaranteed until issued. Any prices quoted are not guaranteed and are subject to change at anytime. Should there be a discrepancy between the price shown on the website and that of the actual tour operator and/or airline selling price, the later shall prevail.
All products are subject to availability and deliverable within Canada only. All informational content, such as hotel and destination information, on this website is provided only as a guideline and may not be an exact representation. travelvip.ca is aware that the customer is in demand of accurate information and as a result makes every effort possible to make sure that the content within this website is up-to-date. Best Price Guaranteed – Applies only to vacation packages sold through Canadian tour companies. Travelvip.ca will match any genuine price quote provided the price is not below cost. While Travelvip.ca will make every attempt to provide the lowest pricing, occasionally circumstances beyond our control may prevent us from providing the lowest price. These circumstances may include but are not limited to group pricing, blocked space pricing, at source discounts, and exclusive price agreements. Travelvip.ca reverse the right to request a written price quote on any fare that is being matched. Prices are only guaranteed at time of booking and will not be lowered once the booking is complete. Price changes made by the airline or tour operator after a booking has been completed cannot be matched.
PAYMENT
Payment for online bookings is required in full at the time of purchase. Online purchases can be made using Visa, MasterCard, or American Express credit cards. Flight and vacation package purchases are 100% non-refundable. Third party credit cards bookings may require written confirmation from the credit card holder. All fraudulent purchase will be investigated and prosecuted.
CONFIRMATION AND DELIVERY
After an online purchase is made, the customer will receive an automatic email confirming their purchase. This email will contain a copy of all the information that the customer entered for the booking, such as passenger names and contact information. It is the responsibility of the customer to verify that the information on the confirmation email is in accordance with the travel product that they have purchased. Any changes required due to the customer entering incorrect information and/or spelling mistakes during the booking process may result in additional change fees as imposed by the tour operator and/or airline.
FLIGHT TIMES AND CONFIRMATION
Flight schedules are subject to change as per airline terms and conditions. Flight schedule changes are beyond the control of Travelvip.ca and as such, Travelvip.ca cannot be held responsible for any missed flights or disrupted travel plans due to airline flight schedule changes. In the event of a flight schedule change, if notified by the airline, Travelvip.ca will send a flight schedule change notice to the customer. Customers should reconfirm their flight times at least 24 hours prior to departure to ensure that no last minute flight changes have occurred. Airline contact telephone numbers are included on travel tickets.
AIRPORT CHECK-IN
It is strongly recommended that all passengers arrive 3 hours prior to departure to all check-in and to ensure adequate time to pass through airport security. Check-in counters will close 1 hour prior to departure. Any passengers attempting to check-in within 1 hour to departure time will be denied boarding and not provided any refund or alternate options. Please, remember to check your flight itinerary for your departure airport and terminal and reconfirm your flight times 24 & 12 hours prior to departure.
TICKET DELIVERY
The majority of travel tickets are now in the form of electronic tickets (etickets). Etickets will be emailed to the email address provided by the customer at time of booking. It is the responsibility of the customer to ensure that any emails received from Travelvip.ca do not get deleted or held by email spam filters or junk folders. Customers should amend their email settings to ensure that emails from Travelvip.ca are delivered correctly to their email program. Travelvip.ca is not responsible for any problems or miscommunications that may arise due to email delivery failures.
If travel tickets are in the form of physical tickets, Travelvip.ca will Xpresspost mail the tickets to the customer address on file. Xpresspost deliveries are applicable for an additional fee of $10.00 within Alberta, and $15.00 for the rest of Canada. If the customer chooses the airport pick-up option the tour operator will deliver the customer’s tickets to the airport and the customer may pick them up on the day of departure. The customer is responsible to comply with the applicable tour operator’s airport pick-up conditions.
Customers residing in the Edmonton area may also choose to pick-up their tickets at the Travelvip.ca office. If selecting this option, please indicate so by using the special requests box on the online booking form or by contacting our office.
Travelvip.ca receives documents from the tour operator usually 2-3 weeks before departure. Once they are received by us, they will be processed and then sent to the customer via email or Xpresspost.
DOCUMENTATION
It is the responsibility of the customer to obtain all the necessary documents, such as passports and visas, required to gain entry into the country of destination. Obtaining passports and visas may require lengthy processing times, it is the responsibility of the customer to ensure that all required documentation is received before travel departure.
IMPORTANT – Children 18 and under traveling alone or with only one parent MUST have a notorzied letter of authorization signed by the parent who is not traveling or if both parents are not traveling with the child, this note must be signed by both parents. This rule currently applies for, but is not limited to, travel to Mexico and the Dominican Republic.

CANCELLATION
Flight reservations may be 100% non-refundable. Depending on the airline, many flights are 100% non-refundable once the reservation is made or will involve cancellation fees. If you have questions regarding cancellation policies of a specific airline, please contact us BEFORE making your reservation. Once a reservation is made it is bound by the rules and restrictions of the airline.
Vacation package reservations departing within 45 days are 100% non-refundable. All purchases are non-changeable and non-transferable. Name spelling corrections are subject to fees determined by the tour operator that you have made your reservation with. It is highly recommended that customers purchase travel insurance in order to protect themselves against the loss of their purchase due to unforeseen circumstances.
Cancellation of vacation packages departing within 45 days WILL NOT be refunded. Travel insurance is highly recommended to protect against unforseen circumstances.
INSURANCE
For every sale, Travelvip.ca offers the option to purchase travel insurance to cover the customer against any unforeseen circumstances that may occur prior to, during or after your trip. There are different types of insurance packages available and the purchase of insurance is an optional decision to the customer. Travelvip.ca highly recommends purchasing travel insurance.
Once the customer has purchases travel through Travelvip.ca they can decide to buy travel insurance within 48 hours (excluding medical only insurance, which may be purchased anytime up until departure). The customer can also change the type of insurance coverage they have within 48 hours of purchase. Cancellation of an insurance package purchased through Travelvip.ca must be submitted to us within 10 days.
It is the customer’s responsibility to read and familiarize themselves with the travel insurance policy to understand what their purchased travel insurance covers and under what conditions. If the customer wants to make an insurance claim it is their responsibility to contact Travelvip.ca as soon as possible. Please contact us if you require more information regarding travel insurance.
